PRIVACY POLICY REFERENCE NOTICE This policy is reference text for the website demonstration. It must be adapted with legal counsel to the responsible company, its providers, its technology tools, and the obligations that apply in the Dominican Republic before being published as a final policy. 1. Controller and scope Rentas Caribe operates this rental website and uses the information needed to handle requests, reservations, and service-related communications. This reference covers information submitted through the public form, WhatsApp, email, phone, and the vehicle handover process. 2. Information we may collect We may collect your full name, email, phone number, pickup and return locations, rental dates and times, flight number, airline, extra preferences, reservation code, and support messages. To verify the driver and prepare the agreement, we may also request a license, passport or identity document, date of birth, address, and limited card or guarantee details. We do not ask you to send full card numbers, security codes, or passwords through WhatsApp. When an electronic payment is available, card data should be processed by an authorized provider, and the merchant should retain only the identifiers or last digits needed to operate and reconcile the service. 3. How we use information We use information to calculate availability and rates, create temporary holds, confirm or change reservations, coordinate pickup at SDQ, prepare the agreement and inspection, process payments or deposits, send confirmations, answer questions, manage incidents, meet legal obligations, and improve site security and operation. We may use aggregated or de-identified information to understand which categories and time slots are most requested. A demo reservation is not used as a real rental and demonstration data is not presented as the merchant’s operational history. 4. Who we may share it with We may share information needed with hosting, email, messaging, payment, secure storage, technical support, insurance, or roadside-assistance providers when necessary to provide the service or protect the operation. We may also disclose it to authorities, courts, or advisers when there is a valid legal obligation or request. We do not sell personal data as part of the operation described in this reference. 5. Retention and security We retain information for as long as needed to handle the reservation, resolve claims, meet accounting or legal obligations, and protect rights. Exact periods must be defined in the final policy according to document type. We use access controls, secure transmission, and separation between public, operational, and sensitive documents; no internet-connected system can promise absolute security. 6. Individual rights You may request confirmation of how your data is used, access to information we retain, correction of inaccurate data, an update to your contact details, and, where legally available, deletion or objection to certain uses. You may also withdraw consent when processing relies on it, without affecting processing already required for a reservation or legal obligation. To exercise these rights, email reservas@rentascaribe.do with your name, the email used, and the specific request. We may ask for reasonable information to verify identity and prevent another person from accessing your data. We will respond within the period required by applicable law and explain any limitation. 7. Cookies and links The site may use technical cookies and necessary tools to remember preferences, protect forms, and measure performance. The final policy must identify each tool, its purpose, and how preferences can be managed. Links to WhatsApp, maps, airlines, or other external sites are governed by the policies of their respective controllers. 8. Changes We may update this policy to reflect service, provider, or legal changes. The published version should include an effective date and notice method. If a change materially affects an existing reservation, the merchant should communicate it through the appropriate channel.
